Bookkeeping Services in Mississauga: Tax-Ready Books for Solopreneurs and Service Professionals
Virtual tax-ready bookkeeping from a CPA firm, delivered by a bookkeeping team trained by Purvish Shah, CPA, CA. We code your transactions, reconcile your accounts, file your sales tax and, if you add it, pay your bills. Available to clients who use Adian for tax preparation. Fixed monthly fees. No payroll, no trust accounting, no inventory.
Adian Professional Corporation provides bookkeeping services in Mississauga and across Canada (excluding Quebec) for solopreneurs and service-based professionals with annual sales between $500,000 and $5 million, whether they operate through a corporation or as a sole proprietor. The service is available to clients who also use Adian for tax preparation, so your books and your tax return come from one firm.
At this size, bookkeeping stops being an admin task and becomes a compliance function. Transaction volume grows, the supplier list gets longer, and sales tax returns carry penalties when they are late or wrong. When the books fall behind, the cost shows up at year-end as a rushed return, a sales tax filing that does not tie to the ledger, or a CPA billing hours to clean up transactions that should have been coded correctly the first time.
Adian is a CPA firm first and a bookkeeping provider second, and that order matters. Adian has a bookkeeping team that does the day-to-day work, trained by Purvish Shah, CPA, CA, to code every transaction with your tax return in mind. Your primary point of contact is Adian’s Bookkeeping Manager, and Purvish steps in as needed.
What Is Tax-Ready Bookkeeping?
Tax-ready bookkeeping is bookkeeping done with your tax return in mind from the first transaction of the year. Instead of recording transactions in whatever accounts are convenient and sorting it out at year-end, every transaction is coded to the account your return will need, your accounts are reconciled to the bank and credit card statements every month, and your sales tax return is prepared from the same reconciled ledger it is reported against.
The result is a set of books your CPA can use without rework. Because Adian prepares your return, whether a T2 corporate return or a T1 with business income, it starts from the same ledger, not from a cleanup project.
How is it different from standard bookkeeping?
Most bookkeeping is judged by whether the transactions are entered. Tax-ready bookkeeping is judged by whether the books can be filed.
| Area | Standard bookkeeping | Tax-ready bookkeeping |
|---|---|---|
| Chart of accounts | A generic template, or whatever was set up when the file was opened | Structured around the tax return and reviewed at onboarding |
| Coding | Categories chosen for convenience, with unclear items left uncategorized | Every item coded, or flagged to you in one batch of questions before the month is closed |
| Reconciliation | Done occasionally, or at year-end | Bank and credit card accounts reconciled every month |
| Bills | May be recorded only when paid | Recorded when received and paid in the correct period |
| Sales tax | Return prepared from a report that may not tie to the ledger | Return prepared from the reconciled ledger and tied to the books before filing |
| Year-end | A cleanup before the return can be prepared | A review, because the books are already closed |
What goes wrong without it?
Three problems show up repeatedly in books that are not tax-ready. Expenses land in the wrong accounts, so the return needs adjusting. The sales tax return does not tie to the ledger, so input tax credits are hard to support. And uncategorized items pile up until year-end, when the person who knows what they were is the owner, months after the fact. Each one turns into extra time at year-end, and extra time is extra cost.
What tax-ready bookkeeping is not
Not tax preparation
Not a compilation, review or audit
Not payroll, trust accounting
Bookkeeping Services in Mississauga: What We Handle
1. Transaction Coding, Reconciliation and Monthly Financials
Each month our team reviews the activity in your bank and credit card accounts, codes every transaction, reconciles the accounts and keeps the ledger clean. Anything we cannot code with confidence comes to you from your Bookkeeping Manager as one batch of questions, not a stream of emails.
- Coding of bank and credit card transactions to the correct accounts
- Bank rules maintained so recurring transactions code the same way every month
- Monthly bank and credit card reconciliations
- Payroll provider reports posted to your ledger as journal entries, for biweekly and twice-a-month (semi-monthly) payroll. Weekly payroll is posted for an extra fee. We do not provide payroll.
- Review of uncategorized, unusual and personal-looking items, flagged to you before the books are closed
- Monthly close, with monthly financial statements (income statement and balance sheet)
2. Sales Tax Preparation and Filing
We prepare your GST/HST return from the reconciled books, review it and file it with the CRA for every reporting period. For monthly and quarterly filers, the return and the payment are both due one month after the period ends. We track your dates so you do not have to.
- GST/HST return prepared from the reconciled ledger
- Provincial sales tax (PST) returns for clients in British Columbia, Saskatchewan and Manitoba
- Review of sales tax coding and input tax credits before filing
- Electronic filing and confirmation of filing sent to you
- Amount owing and due date confirmed to you ahead of the deadline
GST/HST and PST filing are included in the base monthly fee, and GST/HST filing is included where it applies to your business. Some businesses, including some medical and dental practices, make only exempt supplies, and GST/HST may not apply to them. If you make both exempt and taxable supplies, we handle that case. We confirm your position during onboarding. We do not file Quebec Sales Tax (QST).
3. Accounts Payable and Bill Payment (optional add-on)
Add accounts payable to your monthly service. Supplier bills are captured, entered and queued for payment in Plooto, and you approve every payment.
- Supplier bills captured through Dext or Hubdoc and entered in QuickBooks Online
- Due-date tracking and payment scheduling
- Payment runs prepared in Plooto by Adian. You approve and release every payment, and nothing is paid until you do
- Payments reconciled back to QuickBooks Online and matched to the bank feed
- Supplier GST/HST captured on every bill, so the input tax credits you claim tie back to the ledger
4. Catch-Up Bookkeeping (separate service)
If your books are behind, our catch-up bookkeeping service brings prior periods up to date, coded and reconciled to the same standard, so you start from a clean file. We cover as many months as your file needs, from $149 CAD + HST per month of backlog. You do not have to take the monthly service afterward. Catch-up bookkeeping is available to clients who use Adian for tax preparation.
5. A Clean Handoff to Your Adian Tax Return
At year-end your books are closed and reconciled to the standard your return needs. Because Adian prepares your return, a T2 for incorporated clients or a T1 with business income for sole proprietors, it starts from the same QuickBooks Online file, with no records re-sent and nothing rebuilt.
Who Does Your Bookkeeping?
Adian has a bookkeeping team that manages your bookkeeping day to day. Purvish Shah, CPA, CA trains the team, and he steps in as needed. Your primary point of contact is Adian’s Bookkeeping Manager, who leads the team, answers your questions and sends you the monthly batch of open items.
Virtual, Online and Built on a Simple Tech Stack
Everything runs online. You upload bills and receipts, approve payments and answer our questions through the tools below, and we meet by video or phone. No in-person meetings are needed, and we serve clients across Canada except Quebec.
| Tool | What it does | How we use it |
|---|---|---|
| QuickBooks Online | Your accounting file and general ledger | We code, reconcile and close your books here. You keep ownership of the file. Required for every client. |
| Dext or Hubdoc | Document capture for bills and receipts | You upload documents. They are extracted and published to QuickBooks Online for us to review and code. We agree with you which one fits your needs. Required for every client. |
| Plooto | Bill payment and approval | Needed only if you add accounts payable and bill payment. Bills sync from QuickBooks Online into Plooto, you approve each payment, and payments reconcile back to your books. |
You own the tools and pay for them directly. Every subscription is in your name and billed to you directly by each provider, including any per-payment fees the providers charge. Adian does not resell the software or bill you for it. Software costs are not part of our monthly fees.
Need help getting set up? We set up your tech stack for a one-time fee starting at $500 CAD + HST. The final fee depends on what needs to be set up and is confirmed in writing before work begins. Setup includes:
- QuickBooks Online configuration and chart of accounts review
- Bank and credit card feeds connected
- Dext or Hubdoc set up and connected to QuickBooks Online
- Plooto set up and connected to QuickBooks Online, with your approval rules in place (for clients who add accounts payable)
- A walkthrough call showing you how to upload documents and approve payments
If your tools are already in place, we review them during onboarding and tell you if anything needs to change.
Your Responsibilities
A tax-ready file depends on both sides doing their part. You are responsible for:
Once a month to confirm they are connected and syncing
To Dext or Hubdoc by the timelines we agree together based on your needs.
In the agreed format by the agreed date.
Managing your own invoicing, receivables and collections.
Approving payments in Plooto, if you add accounts payable.
Paying your software subscriptions directly to each provider.
Our target is to close your books within 10 business days of month-end, subject to these responsibilities being met on time.
What Is Not Included
We say this plainly so you can decide quickly whether we are the right fit.
| Service | Our position |
|---|---|
| Payroll | We do not provide payroll services. That includes processing payroll, calculating source deductions, remitting to the CRA and issuing T4 slips. We post your payroll provider's reports to your ledger. Biweekly and twice-a-month payroll are included in the base fee, and weekly payroll is posted for an extra fee. |
| Trust accounting | We do not provide trust accounting. Businesses that hold client money in trust, such as law firms and real estate brokerages, are not a fit. |
| Inventory management | We do not provide inventory management, including inventory tracking, costing and stock counts. Businesses that carry inventory are not a fit. |
| Receivables and collections | We do not manage your accounts receivable or collect from your customers. You stay responsible for invoicing and collections. |

If you need a service we do not provide, we will recommend a service provider.

Bookkeeping FAQ
What does tax-ready bookkeeping mean?
It means your books are coded, reconciled and closed to the standard your tax return needs, so nothing has to be rebuilt at year-end. Transactions are coded to a chart of accounts built around the return, accounts are reconciled each month, and your sales tax return ties to the ledger before it is filed.
Do I have to use Adian for tax preparation?
Yes. Tax-ready bookkeeping and catch-up bookkeeping are available to clients who use Adian for tax preparation. That is a T2 corporate return for incorporated clients, or a T1 with business income for sole proprietors.
Do you work with sole proprietors as well as incorporated businesses?
Yes. This service is for solopreneurs and service-based professionals with annual sales of $500,000 to $5 million, whether they operate through a corporation or as a sole proprietor. CSRS 4200 compilations are a separate service for incorporated clients only.
Do you work with medical and dental practices?
Yes, as service-based professionals. Many core health care services are exempt from GST/HST, so GST/HST filing is included where it applies to your practice. If you make both exempt and taxable supplies, such as uninsured services alongside insured care, we handle that case. We confirm your position during onboarding, and fees are confirmed in writing before work begins.
What is included in the monthly fee?
Transaction coding, monthly bank and credit card reconciliations, monthly financial statements, payroll provider report postings, and GST/HST and PST filing, from $199 CAD + HST per month. Accounts payable and bill payment is an optional add-on from $129 CAD + HST per month.
How much does it cost?
Tax-ready bookkeeping starts at $199 CAD + HST per month, and accounts payable and bill payment starts at $129 CAD + HST per month as an add-on. Your fee depends on your activity levels and on keeping to the agreed timelines, and we confirm it in writing before work begins. Fees assume up to one bank account and one credit card, with no foreign exchange transactions.
Do you offer catch-up bookkeeping?
Yes, as a separate service for clients who use Adian for tax preparation. We bring prior periods up to date, as many months as your file needs, from $149 CAD + HST per month of backlog. You do not have to take the monthly service afterward.
Is the service virtual?
Yes. Everything is done online. You upload documents and approve payments through your own accounts, and we meet by video or phone. We serve clients across Canada except Quebec.
Who does the bookkeeping?
Adian has a bookkeeping team that does the day-to-day work. The team is trained by Purvish Shah, CPA, CA, and Purvish steps in as needed.
Who will I deal with day to day?
Your primary point of contact is Adian’s Bookkeeping Manager, who leads the team. Purvish Shah, CPA, CA steps in as needed.
What software do I need, and who pays for it?
You need QuickBooks Online and Dext or Hubdoc for document capture, plus Plooto if you add bill payment. We agree with you which document capture tool fits your needs. Each subscription is in your name and billed to you directly by the provider. Adian does not resell the software or bill you for it.
Can you set the software up for me?
Yes, for a one-time fee starting at $500 CAD + HST, confirmed in writing based on what needs to be set up. If your tools are already in place, we review them during onboarding.
What do you need from me each month?
Check your bank feeds once a month, upload bills and receipts to Dext or Hubdoc by the timelines we agree together, and provide records in the agreed format by the agreed date. You also handle your own invoicing, receivables and collections.
How quickly will my books be closed each month?
We aim to close within 10 business days of month-end, subject to you meeting the agreed timelines and providing documents in the agreed format.
How does bill payment work?
With the accounts payable add-on, we enter your supplier bills and prepare each payment run in Plooto. You approve and release every payment in Plooto, and nothing is paid until you do. Payments then reconcile back to QuickBooks Online.
Do you provide payroll services?
No. We do not process payroll, calculate source deductions, remit to the CRA or issue T4 slips. We do post your payroll provider’s reports to your ledger. Biweekly and twice-a-month (semi-monthly) payroll are included in the base fee, and weekly payroll can be posted for an extra fee. If you need a payroll provider, we will recommend one.
Do you manage my receivables or collect from my customers?
No. You stay responsible for invoicing and collections. We do not manage accounts receivable.
Do you offer trust accounting or inventory management?
No. Businesses that hold client money in trust or carry inventory are not a fit for this service.
Which sales taxes do you file?
GST/HST for clients who are registrants, and provincial sales tax (PST) for clients in British Columbia, Saskatchewan and Manitoba. We do not file Quebec Sales Tax (QST).
How often will my GST/HST return be filed?
The CRA assigns your reporting period based on your annual taxable supplies. If your taxable supplies are $1,500,000 or less, the assigned period is annual, and you can elect quarterly or monthly. If they are more than $1,500,000 and up to $6,000,000, the assigned period is quarterly, and you can elect monthly. For monthly and quarterly filers, the return and the payment are due one month after the period ends. Annual filers may also need to pay GST/HST in instalments during the year. We confirm your reporting period during onboarding and track every due date.
Do I need to be registered for GST/HST?
Generally, a business must register once its taxable sales exceed $30,000 in a single calendar quarter or over four consecutive calendar quarters. At annual sales of $500,000 or more, most businesses that sell taxable services are well past that point. Businesses whose supplies are all exempt, such as some medical and dental practices, may not need to register. If you make both exempt and taxable supplies, we handle that case. We confirm your registration position during onboarding.
What happens if a GST/HST return is filed late?
If you file after the due date and you owe money, the CRA may charge a late-filing penalty, and interest applies to overdue balances. Tracking each due date and filing on time is part of the service.
